Internships

Every year, the Ministry of Foreign and European Affairs offers students enrolled at a higher education establishment (minimum in the 2nd year of university studies) the opportunity to take part in an internship within the department in Luxembourg or at one of the diplomatic network’s embassies and representations abroad.

Duration of the internship

 An internship may last between several weeks and a maximum of 6 months, with the exception of internships approved as part of studies, where this duration may be exceeded.

About the role

The Consulate General of Luxembourg and the Luxembourg Trade and Investment Office (LTIO) in San Francisco are seeking bilingual (French-English) administrative and consular assistant as well as executive assistant to support the Executive Director and team.

Under the authority of the Ministry of Foreign Affairs of the Grand Duchy of Luxembourg, the Consulate serves and supports the Luxembourg community within its jurisdiction, while the LTIO fosters economic ties between Luxembourg and the US West Coast.

We seek a proactive, well-organized, and communicative team player with strong attention to detail and the ability to work independently.

Under the supervision of the Consul General, you will perform the following tasks:
  • Administrative assistance to the Consul General / Executive Director
  • Deal with incoming and outgoing correspondence and invitations, scheduling and prioritize competing requests
  • Coordinate domestic and international travel, book accommodations, and process related expense claims
  • Manage financial tasks, handle the Consulate General of Luxembourg & Luxembourg Trade and Investment Office's accounting, and produce accounting documents
  • Prepare monthly and annual financial statements and reports related to the Consulate General of Luxembourg & Luxembourg Trade and Investment Office's expenditures
  • Provide support for budget revisions, prepare fund replenishment requests, and prepare budget proposals
  • Prepare invoice payments and ensure their follow-up
  • Providing daily clerical duties
  • Meet and welcome visitors
  • Maintain contact databases
  • Assist in the organization of official visits, work visits, and economic missions in close coordination with other members of the administrative team
  • Support the members of the consular team in providing consular assistance, including visa requests and passport applications
  • Maintain and update the registry of Luxembourg citizens in the jurisdiction
Your profile:
  • You must have successfully completed at least secondary education or an equivalent qualification, additional college education will be considered an advantage
  • You are fluent in French and English, with excellent writing skills in French
  • You have strong Microsoft Outlook, Word, and Excel skills
  • You have excellent organizational skills and attention to detail
  • You are able to learn and work independently, anticipating needs
  • You have strong written/oral communication and interpersonal skills
  • You have a sense of initiative, organization, and the ability to work independently
  • Previous work experience in budget management and accounting will be considered as an advantage
  • Knowledge of database management will be considered as an advantage
  • You must be in possession of a valid work permit for the United States

Internship objective

Support the work of the Consulate General of Luxembourg in San Francisco and the Luxembourgish Trade & Investment Office (LTIO)

Key responsibilities
  • Assist with planning and organization of events and receptions for the Luxembourg community, the business community, and visiting delegations;
  • Contribute to the preparation of documents and research, including for ministerial visits;
  • Support the management and updating of databases;
  • Conduct research and monitoring related to technology and market developments to support LTIO activities. 
Profile

Technical skills

  • Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint);
  • Strong research and analytical skills, with the ability to synthesize information; 
  • Experience in managing and updating databases.

Languages

  • English: excellent written and spoken proficiency;
